Event Messages

Event Messages are emails you can send to your ticket holders, or to your event attendees if their entrance to the event was recorded at a Door Entry station once an event is over.


Event Messaging enables you to:

  • Provide updates to ticket holders with important information about the event, such as the location, date, and time
  • Send reminders about the event and encourage ticket holders to attend
  • Share updates or changes to the event schedule or agenda
  • Offer special discounts or promotions for related events to ticket holders and event attendees
  • Request feedback or gather information about the event experience

All personal, financial, and other data belonging to ticket holders and event attendees is kept secure within the MSL System.

You can access this feature from your MSL website. Only Content Editors with access to Events Admin, and Organisation Admins with permissions to create events and send messages, can access the Event Messages window.

Ticket Holders Compose Message Fields

This table lists and explains the fields in the Ticket Holders Compose Message section.


Field NameDefinition
TicketsThis field lists the ticket or tickets belonging to the event. Select/Deselect the Tickets checkbox(es) to filter the ticket holders you wish to contact.
Date RangeIf required, set a date range for the ticket purchase. From and To dates are optional; if left blank the message is sent to all ticket holders for the selected tickets.


Attendees Compose Message Fields

This table lists and explains the fields in the Attendees Compose Message section.


Field NameDefinition
Attendance DateThis is the event date range that defines which event attendees will receive the message. This is an optional field. If it is left blank, the message is sent to all attendees of the event.


Ticket Holders and Attendees Message Editor Fields

This table lists and explains the fields in the Ticket Holders and Attendees Compose Message dialog.


Field NameDefinition
From nameThis is the sender’s name. This becomes the Display Name for the Organisation to which the event belongs.
From addressThis is the email address for the Organisation to which the event belongs.
Estimated recipientsThis indicates how many ticket holders or event attendees have email addresses and have opted-in to emails from the Organisation running the event.
If there are none, a status message is displayed: 'There are no estimated recipients for this message'.
SubjectThis is the subject line for the email.
BodyThis is the main text of the email. You can insert as much text as you want, including supporting links and images.
You can also use Message Tokens to insert additional, automated event information.

The Email Editor Toolbar can be edited to add or remove the available buttons. 

Sending time (optional)

Messages are sent immediately unless a date/time is specified. The Sending time field is displayed only if delayed sending is enabled at the Organisation level, at which point you will be given the option to specify a sending time.

The recipient list is set at the point of composing, not at the date and time the message is sent. If further tickets are purchased or redeemed after the message has been scheduled, those recipients will not automatically receive the message when the sending time is reached.


Message Tokens


Tokens can be used in the body of a message to add custom details to its content.


This table lists and explains the available tokens.


Token NameDefinition
{EVENT_NAME}

This token adds the event name to the body of the message.

{EVENT_START_DATE}This token adds the event start date to the body of the message.
{EVENT_START_TIME}

This token adds the event start time to the body of the message.

{EVENT_END_DATE}

This token adds the event end date to the body of the message.

{EVENT_END_TIME}

This token adds the event end time to the body of the message.

{EVENT_LOCATION}

This token adds the event’s location to the body of the message.

{ONLINE_MEETING_URL}This token adds the online meeting URL (if specified) to the body of the message.
{ONLINE_MEETING_JOINING_INFO}

This token adds any online meeting joining information (if specified) to the body of the message.


Some additional placeholders can be added to your message body using information stored in the ticket holder or event attendees’ user accounts.
Insert as follows:
  • Insert {firstname} to insert the recipient’s first name
  • Insert {lastname} to insert the recipient’s last name
