Election Notifications

Election Notifications can be enabled and personalised per election and can help make the nominations and voting process more transparent, giving your candidates and voters peace of mind. 


Use the nomination notifications to send your candidates information about important deadlines and campaigning dates. Save your staff time so they don't need to contact candidates about status updates individually anymore.


Enabling voter notifications can help prevent voter fraud and mistakes, as your voters can quickly identify any issues with their vote and take action to correct them. Use the Voting Completion notification to tell your voters when to expect the election results and automatically send a link to a feedback survey.

You can access this feature from your MSL website. Only Content Editors with access to Elections Admin can access the Edit Notifications window.

Election Notifications Descriptions

This table lists and describes the types of Notifications.


Notification NameDefinition
Nomination AcknowledgementIf enabled, a message is sent to a candidate when their nomination is submitted.
Nomination Status ChangeIf enabled, a message is sent to a candidate when their status is updated, for example from Unapproved to Approved.
Vote Acknowledgement
If enabled, a message is sent to a voter each time they cast a vote.
Voting Completion
If enabled, a message is sent to a voter when they have voted for all the posts for which they are eligible.


Notification Editor Fields

This table lists and explains the fields in the Edit Template dialog.


Field NameDefinition
Enable these notificationsIf selected, the notification is activated, and the corresponding message is delivered to a candidate or voter, depending on the type of notification.
From nameThis is the sender’s name. This becomes the Display Name for the Organisation to which the election belongs.
From addressThis is the email address for the Organisation to which the election belongs.
SubjectThis is the subject line for the email.
BodyThis is the main text of the email. You can insert as much text as you want, including supporting links and images.
You can also use Message Tokens to insert additional, automated election information.

The Email Editor Toolbar can be edited to add or remove the available buttons. 


Message Tokens


Tokens can be used in the body of a message to add custom details to its content.


This table lists and explains the available tokens.


Token NameDefinition
{ELECTION_TITLE}

This token adds the election name to the body of the message.

{POST_NAME}This token adds the post name to the body of the message.
This token is available only in the Nomination Acknowledgement, Nomination Status Change and Vote Acknowledgement notifications.
{CANDIDATE_STATUS}This token adds the candidate's current status to the body of the message. For example, if a candidate's status is changed from Unapproved to Approved, the {CANDIDATE_STATUS} token adds the status Approved to the body of the message. Or, if the candidate's status is Approved, and the candidate withdraws their candidacy, the {CANDIDATE_STATUS} token adds the status Withdrawn to the body of the message.
This token is available only in the Nomination Status Change notification.
{VOTE_DATE}

This token adds the date the vote is cast to the body of the message in the format 20 Apr 2023.

This token is available only in the Vote Acknowledgement notification.

{VOTE_TIME}

This token adds the time the vote is cast to the body of the message in the format 10:30.

This token is available only in the Vote Acknowledgement notification.

{VOTE_DATETIME}

This token adds the date and time the vote is cast to the body of the message in the format Thursday 20 Apr 2023 10:30.

This token is available only in the Vote Acknowledgement notification.


Some additional placeholders can be added to your message body using information stored in the voter's and candidate's user accounts.
Insert as follows:
  • Insert {firstname} to insert the recipient’s first name
  • Insert {lastname} to insert the recipient’s last name
