Referenda Admin

Create a referenda in Referenda Admin. Referenda Admin is where you:

  • Set up new Referenda
  • Create and manage Motions
  • Add members to Motion Groups e.g. let your users add for or against arguments to the relevant Motion choices
  • View live voting stats

Referenda Admin lets you manage referenda created by all departments and groups in one place, with shortcuts making managing your referenda easy.

You can access this feature from your MSL website. Only Content Editors with access to Referenda Admin can manage Referenda via the Referenda Admin window.

Referenda Admin Fields

This table lists and explains the Referenda Admin fields.


Field NameDefinition
Title

This is the name of the Referendum. It is displayed on the referenda pages and on referenda lists. 

The Title must be unique, so if you are running a referendum you run annually, add the year into the Title e.g. All Student Vote 2024

This field is mandatory.

Organisation

This is the name of the Organisation to which the Referendum belongs.

The selected Organisation does not determine eligibility to vote.

Once saved, a Referendum's organisation cannot be changed.

This field is mandatory.

Motion Group Organisation

This is the Organisation where the Referendum's Motion Groups will be created.

We recommend you create an Organisation called "Referenda" or similar and select that organisation as the Motion Group Organisation for all your referenda.

This field is displayed only in the Add Referendum and Edit Referendum windows.

This field is mandatory.

Display Period

These are the dates when you would like the Referendum to be displayed on your MSL website and Polling Station.

The Display Period must contain both the motion deadlines and polling periods, with the Display Period starting before the Motion Deadline, and finishing after the Polling Period is over.

This field is displayed only in the Add Referendum and Edit Referendum windows.

This field is mandatory.

This is a brief introduction to the Referendum. Content should be written as plain text.

This field is displayed only in the Add Referendum and Edit Referendum windows.

Motion Deadline

This is the date and time by which all motions must be submitted.

The Motion Deadline must finish before or at the same time as the Amendment Deadline and must finish before the Polling Period.

This field is displayed only in the Add Referendum and Edit Referendum windows.

This field is mandatory.

Amendment Deadline

This is the date and time by which all motions must be updated.

Users added to the motion groups will not be able to edit the motion cases once the Amendment Deadline has passed.

The Amendment Deadline must finish after or at the same time as the Motion Deadline and must finish before the Polling Period.

This field is displayed only in the Add Referendum and Edit Referendum windows.

This field is mandatory.

Image

Upload an image for the Referendum. The referendum's image is displayed on the StudentLink app if it is added as an item on the home screen or as a menu item.

This field becomes available once you save the referendum details.

This field is displayed only in the Add Referendum and Edit Referendum windows.

Polling Period

These are the dates between which votes are submitted. 

The Polling Period must start after the Motion Deadline and Amendment Deadline have passed.

This field is displayed only in the Add Referendum and Edit Referendum windows.

This field is mandatory.

Voter Terms and Conditions

These are the terms a voter must agree to before they can continue to the ballot. Content should be written as plain text.

This field is displayed only in the Add Referendum and Edit Referendum windows.

Completion PageIf specified, this is the page on your MSL website to which voters will be redirected when they finish voting for all motions.
You may want to redirect your voters to a feedback survey, for example.
This field is displayed only in the Add Referendum and Edit Referendum windows.
Voting Completion Text

Content added to this text field is displayed once the voter has cast votes for all motions. This field supports HTML.

This field is displayed only in the Add Referendum and Edit Referendum windows.

Voter Grouping

This is the membership-type group selected containing the users who are eligible to vote in this Referendum.

This field is displayed only in the Add Referendum and Edit Referendum windows.

This field is mandatory.

Not Eligible Message

Content added to this text field is displayed to users who are not eligible to participate in the Referendum.

The Not Eligible Message might include information about who is eligible to participate in the referendum and a contact email address so users who believe they are eligible to participate, but don't have access, can get in touch.

Content should be written as plain text.

This field is displayed only in the Add Referendum and Edit Referendum windows.

This field is mandatory.

Default Ballot RubricContent added to this text field is displayed at the top of the ballot page for all motions unless overridden by the Ballot Rubric text specified per motion.

The Ballot Rubric content should contain instructions for the voter about how they cast their vote. The Ballot Rubric can be set per device type (Website, Polling App and Mobile App).

This field is displayed only in the Add Referendum and Edit Referendum windows.

The Default Ballot Rubric text can also be updated at the system level. For further information, see How to View and Edit the Default Referendum Ballot Rubric.

(Edit) Details

Click to view the Edit Referendum window.

This field is displayed only in the Referenda Admin and Edit Referendum windows.

(Edit) Motions

Click to view the Motions window.

This field is displayed only in the Referenda Admin and Edit Referendum windows.

Reports

Click to view the Reports window.

This field is displayed only in the Referenda Admin and Edit Referendum windows.

Delete ()Click to Delete the Referendum.
Once a referendum has motions, you must delete the motions before deleting the referendum. Once a referendum has voting records it cannot be deleted.
This field is displayed only in the Referenda Admin window.
