Managing Ideas

Idea Admins can manage ideas by checking and updating their content, modifying selected tags, if relevant, and setting the idea's status as current, locked, rejected or passed. Ideas can also be expired or scheduled to expire automatically after a set number of days, ensuring the list of suggestions remains relevant to your users.


With a streamlined approval process, Idea Admins can review ideas, approve those that meet the objectives of the Idea Area ready for your users to comment and vote, and reject any that don't or are inappropriate.

You can access this feature from your MSL website. Only Content Editors with access to Ideas Admin, Organisation Admins with permissions to edit idea areas, or users who have been made an Idea Area Admin can Manage Ideas.


Run the Comments report in your Report Server to view a list of all comments on ideas which you can filter by idea and date, helping with the moderation of comments.

Ideas Fields

This table lists and explains the fields on the Idea List and Edit Idea window.

EditClick to view the Edit Idea window.
This field is displayed only on the Idea List.
ApproveIf the Idea is pending approval, click to Approve the Idea.
This option is displayed when Require(s) Approval is selected for the relevant Idea Area. For further information, see Ideas Admin.
This field is displayed only on the Idea List.
RejectIf the Idea is pending approval, click to Reject the Idea.
This option is displayed when Require(s) Approval is selected for the relevant Idea Area. For further information, see Ideas Admin.
This field is displayed only on the Idea List.
TitleThis is the name of the Idea.
Additional Text FieldsThe Description field and any further text fields are Content Items configured for the Idea Area. To update the available Fields, see How to Edit a Content Item.
This field is displayed only on the Edit Idea window.
TagsThis field displays any Tags entered for the Idea Area. Select any relevant Tags, and deselect any irrelevant Tags. To update the available Tags, see How to Edit an Idea Area.
This field is displayed only on the Edit Idea window.
StatusThis is the state of an Idea submission which affects whether the Idea can be voted on. The options are:
  • Current - This is the default status assigned to an idea once it has been submitted. Users can comment and vote on Current ideas
  • Locked - Users cannot comment or vote on Locked ideas
  • Passed - Users cannot comment or vote on Passed ideas
  • Rejected - Users cannot comment or vote on Rejected ideas

You can use the Idea List widget to display Ideas of different statuses on separate pages, or different areas of the same page, on your MSL website. For further information, see Ideas Widgets.

The Status must be set by an Idea Admin, statuses cannot be automatically set based on the number of votes received, for example.

This field is displayed only on the Edit Idea window.
ArchivedIf selected, the Idea is Archived and not visible to anyone except Idea Admins.
This field is displayed only on the Edit Idea window.
Expiry DateThis is the date and time the Idea will be Expired.
Once an Idea has Expired, users can no longer vote or comment on that idea.
A Default Expiry Period can be specified for the Idea Area. For further information, see Ideas Admin.
This field is displayed only on the Edit Idea window.
