The Send Email feature in Messaging Admin makes it easy to send personalised emails to your users and external recipients if required.
You can send messages to specific individuals or choose from the selected organisation's mailing lists - any membership group type configured to receive messages, including dynamic lists, membership groups, lists, and roles. This feature is invaluable for reaching your target audience and ensuring effective communication.
Messages sent through Messaging Admin appear in the user's message centre inbox when they log into your MSL website. This way, users who prefer not to receive emails can still access the messages you've sent so they can stay informed.
Alternatively, if you prefer using other messaging services like Mail Chimp or Dot Digital, MSL integrates with them too. For more information, contact support@ukmsl.com.
TABLE OF CONTENTS
You can access this feature from your MSL website. Only Organisation Admins with permissions to send messages can access the Send Email window.
Some additional placeholders can be added to your message text using information stored in user's accounts. Insert as follows: Insert {firstname} to insert the recipient’s first name Insert {lastname} to insert the recipient’s last name
For further information, see Messaging Admin.
Send Email Fields
This table lists and explains the Send Email fields.
Field Name | Definition |
---|---|
From | These are the email addresses associated with the selected Organisation from which the message is being sent. The sender's default email address is also listed. |
Reply To | These are the email addresses associated with the selected Organisation from which the message is being sent. The sender's default email address is also listed. A "no-reply" email address can be selected if it is associated with the selected Organisation, but ensure it is a valid and functional email address. |
Add Recipients | Click to open the Recipients window. In this window, senders can select a mailing list(s) and/or individual users as message recipients. For added privacy, recipient names within a mailing list can be removed. Contact support@ukmsl.com to configure this setting. Otherwise, only the sender and messaging admins will see the recipient list, ensuring recipients cannot see each other's names. The option to add External Recipients on the Recipients window is displayed only if sending to external recipients is enabled at the Organisation level. For further information, see How to Allow External Recipient Messaging and How to Add External Recipients to an Email Message. |
Subject | This is a concise and descriptive line that summarises the content or purpose of the email. There is a character limit of 255 characters. |
Add Attachments | If required, click to open the Attachments window. Here, senders can upload files to include in their email. Attachments are limited to a total size of 5 MB and will show up below the message body in the recipient's email. If you have larger files to share, MSL recommends using an alternative file-sharing tool. |
Sending Time | Messages are sent immediately unless a date/time is specified. The Sending Time field is displayed only if delayed sending is enabled at the Organisation level, at which point you will be given the option to specify a sending time. The options are:
For further information, see How to Allow Delayed Sending and How to Schedule the Sending of an Email Message. The default maximum sending delay is set to 48 hours. For any extension beyond this, contact support@ukmsl.com. |
Google Campaign Tracking | Select the Track this Email checkbox to use campaign tracking in Google Analytics. For further information, see How to Track Email Insights Using Google Campaigns. |
Template | If specified, an Email Template can enhance your message with consistent branding, simplifying regular communication. These templates, found as webpages under /emailtemplates/ on your MSL website, allow you to create an email layout with editable areas, facilitating easy customisation for the sender. The sender can only select a template for which they have permissions. For further information, see Email Templates, How to Create an Email Template and How to Apply a Template to an Email. Alternatively, if you created an email template elsewhere, opt for the Raw HTML Composing Mode. This allows you to paste full HTML documents directly into the email composition window, eliminating the need to create a separate email template. For further information, see How to Allow a Relaxed Messaging HTML Clean Ruleset and How to Compose an Email Message in Raw HTML Composing Mode. |
