Welcome Message Templates

Welcome messages are personalised emails sent to users when they join a group, facilitated via a Welcome Message Template. Use these messages to share relevant information with newcomers in various group settings, such as welcoming students or staff to your organisation or welcoming new members to student communities, societies, and sports clubs.


You can also help your members celebrate their birthday by creating a welcome message that sends to your members with upcoming birthdays, offering exclusive perks like discount codes or free venue entry. Send the group ID for population, the birthday timeframe (e.g. birthdays the following week or today), and any criteria, such as including only current students to support@ukmsl.com and we'll confirm once the setup is complete.

You can access this feature from your MSL System Admin site. Only Super Admins with Site Admins permissions can access the Welcome Message Templates window and create and edit Welcome Email Templates.


Please be aware, unless the Send On First Join Only checkbox is selected, the welcome message will be sent each time a member is added to the group. For instance, if they expire from the group and then re-join, the welcome message will be sent to them again.


After linking, a welcome message will be sent to new group members and those who joined within the last 24 hours.


To track your Welcome Messages, the tracking image is added only to HTML messages (any message with any <tag> in the body). Ensure you include HTML content in your Welcome Message Template for tracking.

Welcome Message Templates Fields

This table lists and explains the Welcome Message Templates fields.


Field NameDefinition
Group IDThis is the unique ID number for your Group that is linked to the corresponding Welcome Message Template. All groups in your MSL System have a unique ID number.
OrganisationThis is the name of the Organisation to which the Group belongs.
NameThis is the name of the Group linked to the corresponding Welcome Message Template. 
Template

This is the System Email Template the corresponding Group is linked with.

Click the Template linkfield next to the relevant Group to edit the message content.

SubjectThis is the text inputted into the Subject field when creating the linked System Email Template.
'First Join' OnlyIf selected, the Welcome Message email is sent only to the user the first time they join the corresponding Group. If they expire out of the group and then re-join, they won't receive the email again.
Edit ()Click to open the Link Group to Template dialog where the selected System Email Template and Send On First Join Only options can be updated.
Delete ()Click to remove the link between the Group and the Welcome Message Template.


Message Template Tokens

This table lists and explains the available Welcome Message Template tokens.

This token adds the recipient’s first name to the subject and/or body of the message.
{lastname}
This token adds the recipient’s last name to the subject and/or body of the message.
{OrganisationName}
This token adds the name of the Organisation they have just joined to the subject and/or body of the message.
{GroupingName}
This token adds the name of the Group they have just joined to the subject and/or body of the message.
