How to Configure Message Delivery with a Global From Address


You can simplify your email delivery by using one universal From address for all outgoing messages from your MSL System. Instead of a complex sender address with site-specific details i.e. "mail@[sitecode]; on behalf of; [SenderName] <SenderEmailAddress>; (mail@[sitecode] via [sitecode]" your emails will appear with a unified, simpler format. This is particularly useful if you frequently send emails from University or parent institution domains (e.g., and DKIM setup is not possible, or you would prefer the setup detailed below.

Once configured:

  • All messages sent from your MSL System will use the global From address.
  • When composing messages in Messaging Admin or on email notification dialogs, the From options are limited to the  sender's organisation display name and sender's name, explicitly showing the global From address to be used.
  • The global From address can include a format placeholder {0}, replaced with the sender's organisation display name or sender's name (depending on which option is selected on the Send Email window). For example, if the Basketball club sent a message to their members "{0}(" might appear as Basketball(
  • For System Emails like receipts, registration invitations, and welcome messages, the Reply To address will be the From address set on the System Email Template.
  • For messages sent through Messaging Admin or elsewhere through the MSL website, the Reply To address is the sender organisation's or sender's email address selected on the Send Email window.
  • The sender (envelope) address is not used, so your mail header will no longer include "on behalf of".
  • The From address is set in the MSL System configuration and can only be updated by MSL.

Configuring the Global From Address

  1. Create an email mailbox using your preferred sender address, for example,
  2. Set up DKIM signing. For further information see DKIM Signing.
  3. Set up an SPF (Sender Policy Framework) record. For further information see SPF Record.
  4. Contact, who will handle the configuration of your global From address.
  5. Send a test email from MSL's Messaging Admin to confirm configuration success.

SPF Record

Before proceeding, if the sender address is used for other systems, updating the SPF record will break that setup. We recommend you consult with your IT or technical support team before changing this setting.

  1. Log in to your Domain Provider's Control Panel.
  2. Look for an option labelled "TXT Records" or "DNS Settings" in your DNS control panel.
  3. If there's an existing SPF record, you can edit it; otherwise, create a new "TXT" record.
  4. For the value of the "TXT" record, enter the following (including the double quotes):
    • "v=spf1 mx ~all"
  5. After entering the SPF value, save the changes in your DNS control panel.
