Check Card Status

To troubleshoot login issues or data-related problems for your members, you can use the Check Card Status feature. This allows you to quickly assess the status of a user's data record. There are seven status messages displayed, each with a tick or cross indicating any issues.


If any row has a cross, there's an issue with the record, and multiple crosses can indicate various account problems. If any of the first four status messages have crosses and all others are ticked, work with your University records team to resolve it. Conversely, if any of the last three status messages have crosses, you as a super admin can usually resolve the issue with the account.

You can access this feature from your MSL System Admin site. Only Super Admins with Membership Admins or Site Admin permissions can access the Check Card Status feature.


You can access the Check Card Status feature either from the Check Card Status section in the Import window or by selecting Check Card Status from the University Data submenu.

Check Card Status Messages

This table lists and describes the different Status messages.


Status NameDescription
Card Number in University DataThis checks if the provided card number is listed in your university's data file.
The options are:
  • Yes () - This indicates the card number is in the data file.
  • No () - This indicates the card number is not in the data file. Contact your University records team to investigate the reason for the missing record. Once they add the record, the daily import will create or update the user's account.
First Time Data Received From UniversityThis checks the first date and time the record linked to the card number appeared in your university's data file.
The options are:
  • Date and Time e.g. 01 Jan 2023 00:00 () - This indicates the first recorded appearance of the data record.
  • Blank () - This indicates the card number has never been included in the data file. Contact your University records team to investigate the reason for the missing record. Once they add the record, the daily import will create the user's account.
Last Time Data Received From UniversityThis checks the date and time the record linked to the card number last appeared in your university's data file.
The options are:
  • Current Date and Time e.g. 01 Jan 2024 00:00 () - This indicates the record is in the most recent data file.
  • Previous Date and Time e.g. 01 Aug 2023 00:00 () - This means the record is either not in the data file anymore, or isn't being imported because the card number is in the Block List. If the card number isn't in the Block List, contact your University records team to investigate the reason for the missing record. Once they add the record, the daily import will update the user's account.
  • Blank () - This indicates the card number has never been included in the data file. Contact your University records team to investigate the reason for the missing record. Once they add the record, the daily import will create the user's account.
Card Number is Linked To PersonThis checks if the card number is connected to an account.
The options are:
  • Yes () - This indicates the card number is linked to an account.
  • No () - This indicates the card number isn't connected to an account. If the card number isn't in Pending Data, and the user is registered in your system, you can manually link their account to the number. For further information, see How to Set a Person's Card Number. Alternatively, contact your University records team to investigate the reason for the missing record. Once they add the record, the daily import will create the user's account.
Card Number is in "Pending Import" TableThis checks if the provided card number is listed in the Pending Data window
The options are:
  • No () - This indicates the card number is not being held in Pending Data.
  • Yes () - This indicates the card number is being held in Pending Data, usually because the user's details, except for the card number, match those of existing account holders in your MSL System. For further information, see Pending Data.
Card Number is in "Import Duplicates" TableThis checks if the provided card number is listed in the Duplicates window.
The options are:
  • No () - This indicates the card number is not being held in Duplicates.
  • Yes () - This indicates the card number is being held in Duplicates, usually because there are users with similar details but different card numbers in the most recent import. For further information, see Duplicates.
Card Number is in "Block List"The options are:
  • No () - This indicates the card number is not in the Block List.
  • Yes () - This indicates the card number has been placed on the Block List. This typically occurs when a super admin resolves a duplicate record or when a user needs to be prevented from logging into your MSL website. For further information, see Block List.
