Group Details

The Create New Group and Group Details windows allow you to set and update the main details about the group: its Name, Parent Organisation, Type, and Category. These details are used throughout the MSL System wherever this group is referenced.


You can enable Autopopulation settings to automatically add users to a membership type groups based on specific criteria. For further information, see Autopopulation Fields. You also have the flexibility to configure what happens to users' memberships when their accounts are queued for deletion. To learn more about these options, see Membership Deletion Section Fields.

You can access this feature from the MSL Admin site. Only Super Admins with Membership Admins or Site Admins permissions can access the Create New Group and Group Details windows.

Details Fields

This table lists and explains the fields in the Details window.


Field NameDefinition
NameThis is the Name of the group.
This field is mandatory.
Parent OrganisationThis is the name of the Organisation to which the group belongs.
It controls various aspects, for example:
  • The organisation you contact the members on behalf of.
  • The website pages the group's members can access or manage.
  • The organisation with which this group's members can participate.
Once set, to move a group to another parent organisation, see How to Move a Group.
This field is mandatory.
TypeThis is the group's Grouping Type.
It controls various settings, such as:
  • Whether the group can be populated with product purchasers
  • If the group can be set to autopopulate
  • If the group can be used as a requirement
  • Which categories and other attributes can be applied to the group

This field is mandatory.
CategoryThis is the group's Category.
It helps manage groups based on shared purposes. For example, you could populate a mailing list with all members of groups with the category "Standard Membership", irrespective of where these groups are located in the grouping tree.
The options are the attributes added to this group's grouping type.
This field is mandatory.
DescriptionThis is a Description of the group.
When configured on a web page, this description can be displayed through various widgets.
Display NameThis is the Display Name of the group.
This field is specifically for Organisation type groups, and lets you specify a different name for display on your MSL website compared to the Name field.
Email AddressThis is the group's contact Email Address.
This field is specifically for Organisation type groups, and is used by Messaging Admin to set the From and Reply To addresses for messages sent on behalf of the organisation. Additionally, if configured on a web page, this email address is displayed via the Grouping Contact Info widget.
Web AddressThis is the group's Website Address.
This field is specifically for Organisation type groups, and if configured on a web page, this web address is displayed via the Grouping Contact Info widget.


Autopopulation Fields


Autopopulation simplifies the process of adding users to a Group based on its requirements, removing the need for manual intervention. For example, it allows you to automatically populate a group with users who meet certain criteria, such as being an undergraduate student, or an academic rep. When the autopopulation fields are selected, group memberships are updated overnight to ensure they reflect the most current information available, ensuring the groups remain accurate and up-to-date over time.


If a grouping type is set to Enforce Autopopulation (like the default Dynamic List type), the group's autopopulation fields are fixed and cannot be changed. For further information, see Grouping Types.

Field NameDefinition
Automatically Populate This Group According to Its Membership RequirementsIf selected, the Group will automatically add users who meet its requirements, without needing manual intervention.
To enable this automatic process, select this checkbox.

Strict Population (Remove Those Who No Longer Meet the Requirements)

If selected, when a user who has previously been added to this Group no longer meets the specified requirements, their membership of the group is automatically expired during the update process.
If the group is set to automatically populate, we recommend also selecting this strict population checkbox to ensure the Group's membership is always accurate based on the criteria.
Exclude Previous Members (Do Not Add Expired Members Back In e.g. Opt-Out Lists)If selected, users who have an expired membership of the Group won't be added back, even if they meet the requirements again. This is useful for opt-out lists, where users have chosen to leave and shouldn't be re-added automatically.
If the group isn't an opt-out list, we recommend leaving this option deselected.
Populate Until (Optional)This specifies a date until which the automatic population of the group based on its membership requirements will continue.
If set, once this date is reached, the automatic population process stops, and no further updates to the group membership will occur unless manually updated.

Membership Deletion Section Fields

Specifies What Happens to Memberships of This Group When Deleting a PersonThis field determines what happens to group memberships when a user is deleted.

It helps you manage your data retention by specifying how to handle memberships when removing users from your MSL System.

The options are:
  • Memberships Will Not Be Deleted - This is the default setting
  • Delete Expired Memberships Only
  • Delete All Memberships, Regardless of Status

This field is specifically for Membership type groups.

This field is displayed only in the Group Details window.

Requirements Section Fields

This table lists and explains the fields in the Requirements section.


Field NameDefinition
Create Membership Requirement of Membership of This Organisation?
This specifies whether the default requirement should be applied to the Group upon creation.
If selected, the group inherits membership requirements from its parent organisation. For example, to join the Geography Society as a Treasurer, the user must first be a member of the Geography Society (default requirement: A - Include - Memberships in 'Geography Society').

Whether this field is left selected, or deselected, you can still create or update the group's requirements later. For more information, see How to Add a Requirement to a Group or How to Edit a Requirement for a Group.

This field is specifically for Membership type groups.

This field is displayed only in the Create New Group window.
